Gestion des informations des événements

Les événements de votre club sont stockés sous forme d’enregistrements dans votre dossier de stockage de club.

Events are associated to a given « Calendar ». Each club gets a dedicated calendar which you see by scrolling down within your club dashboard (beware: do not click the big button to show events because it will effectively only show your events and you will not see the calendar record itself):

There is not much to configure within this calendar record except the default list of reviewers:

Functions to automatically assign default reviewers

This will effectively lets you automatically populate a default list of members who should be granted access to reviewing the attendance (member participating or not) of the events you create. It is advised to keep those Lions functions (for a club calendar):

  • Censeur de club

  • Président de club

  • Club LionsBase Master

but you may of course adjust this configuration to suit your own preference.

Ce formulaire vous permet de gérer les informations générales des événements. Veuillez faire attention au fait que certains champs peuvent ne pas être disponibles pour vous, en fonction des droits d’accès qui vous ont été accordés.

Veuillez remarquer que selon le type d’événement que vous choisissez, certains onglets peuvent être visibles ou pas.

General information of the calendar event

Bon à savoir : Si certains événements à venir ne sont pas affichés sur le site, ce n’est pas une erreur de LionsBase mais une indication que le Webmaster du club a décidé de restreindre le nombre d’événements futurs affichés sur le site. Veuillez lire le chapitre Configurer le plugin des événements pour de plus amples informations.

Nature

The exact list of « natures » depends on your position in LionsBase but two are particularly important:

  • Default: Nothing special, the event behaves as usual.

  • Closed event (invitation only): This makes the event really special in the sense that it will not be visible to anyone except for those members who were explicitely invited.

Autoriser les invités externes

Cette case à cocher vous permet d’inviter des membres externes, non Lions, à votre événement. L’invitation est envoyée par email et les invités reçoivent un code d’accès qui leur permet d’accepter ou de décliner l’invitation et leur permet également de répondre aux questions supplémentaires, de façon similaire aux membres Lions.

Générer des billets personnels

This checkbox enables the generation of a personal ticket for the event. Above all, this ticket embeds a QR-code which may be typically scanned by the LionsBase mobile application in order to automatically confirm the presence of the member to the event.

Lieu

Le lieu d’un événement peut être défini arbitrairement mais si vous vous retrouvez régulièrement au même endroit, vous devriez envisager de créer un enregistrement de lieu avec quelques informations supplémentaires qui s’afficheront plus élégamment dans votre calendrier de site.

Pièce jointe

Les événements avec inscription vous permettent d’ajouter une pièce jointe (p. ex. un PDF avec des informations supplémentaires). Ce fichier sera affiché dans le résumé de l’événement.

Promouvoir de façon publique dans la hiérarchie

This checkbox is used to publicly promote your event in the hierarchy (club, zone, region, district, multiple district). The calendar plugin you put on your website may then be configured to show such events.

A typical use case would be to show important club events as part of a « multiple district calendar ».

Groupes cibles

Les groupes cibles sont utilisés pour préparer le calendrier personnel de chaque membre authentifié.

Note

Target groups are taken into account for events at level zone, region, district or multiple district. That is, club events are implicitly public (in the sense that they are visible).

Indication

The list of available target groups is filtered according to the authorizations of the LionsBase Master and the level of the event. For instance events linked to a club calendar do not show zone, region, district or multiple district level functions. LionsBase Masters who were granted access to a given level solely will mainly only see the next-to lower level functions:

  • Accès à une zone => fonctions de niveau club et zone affichées ;

  • Access to Multiple District => Multiple District and District level function shown.

En plus des fonctions, vous trouvez deux entrées spéciales au début de la liste, à savoir « Tout le monde (public) » et « Tous les membres » :

  • Tout le monde (public) : Chaque membre verra l’événement et sera capable de s’inscrire. Par exemple, un événement de club où les membres des autres clubs sont invités à participer.

  • All members: Not specifically targeted at given functions but event should be shown to any member in the Lions hierarchy. E.g., an event for a zone should be shown to all members of the clubs within the corresponding zone. There is a special case when a club event is targeted at « All members » in the sense that it will effectively target any member in the corresponding zone.

Clubs invités

Les clubs invités sont particulièrement utiles pour indiquer qu’un événement est co-organisé par plusieurs clubs. L’événement sera automatiquement publié dans le calendrier des clubs correspondants et il sera rendu visible à tous les membres de ces clubs, indépendamment de comment cet événement a été ciblé à certaines fonctions.

Inscription

Vous pouvez choisir d’activer le module d’inscription pour l’événement correspondant. Pour ce faire, assurez-vous de changer correctement le type de votre événement de « simple événement » à un type supportant l’inscription.

Upon saving your event, the reviewer section will be populated automatically with members associated with the functions you selected within your calendar (read more). You may naturally change the default list of reviewers for a given event.

Indication

For best user experience and summary in the mobile application (since version 4.3), you should better stick to the following types of questions:

  • Cases à cocher (réponses OUI/NON)

  • Boutons radio (choix d’une option parmi plusieurs comme « menu 1 », « menu 2 » ou « menu 3 »)

  • Champ numérique (p. ex. « Nombre d’enfants »)

Note

Vous ne savez toujours pas comment chaque type de question se comporte réellement dans l’application mobile (ou le site web) ? Alors assurez-vous de lire les notes de version 7.3.3 qui décrivent clairement à quoi elle ressemblera et comment rendre l’expérience utilisateur optimale pour vos participants.

Avertissement

Using radio buttons with « yes » and « no » as options instead of a checkbox is really not a clever idea since it results in both a bad user-experience from the member’s perspective and graphs of answers in the mobile application which are much less intuitive.
