Localizing a conference

LionsBase supports events in multiple languages. This is particularly useful for conferences where the participants may come from different parts of the country and speak different languages.

There is nothing special about localizing a conference. The same principles apply as for localizing any other event. The only difference is that the conference is typically composed of multiple events, each of which being technically a special «additional question» in the registration form.

The key point when translating any event is to never change anything in the additional questions of the source record once the translation has been created. The same applies for the translated record of course, but it’s not unusual that the source record (in main language) needs to be changed after a few days because the editor did not get the information right the first time, or didn’t pay attention to typo’s.

As such we suggest following process:

  1. Create the conference in the main language.

  2. Make it available to a few people like the organization committee, to check that everything is correctly set up.

  3. Make any correction needed in the main language.

  4. Go back to step 2 until everything is fine.

  5. Create the translations of the conference.

  6. Make the translations available to the same people as in step 2.

  7. Make any correction needed in the translations.

  8. Go back to step 6 until everything is fine.

  9. Open the registration to the public and start promoting the event.

From that moment on, you should not change anything in either the main language or the translations. If you need to make a change, you are very likely to loose some of the former registrations for the corresponding event.
